About the position

GA Uganda is a fully owned subsidiary of GA Insurance Limited, an insurance Group with Head Offices in Nairobi Kenya. The GA brand is now truly East African having set foot in Uganda in late 2019. The Tanzania operations were established just over six years ago. Job Summary
The Administrative Assistant will manage the day-to-day administration of the front desk office and The main responsibilities are to administer policies and procedures and ensure the overall smooth functioning of the office.
Job Responsibilities
- Greet and welcome guests as soon as they arrive at the office.
- Answer and direct incoming calls.
- Direct visitors to the appropriate person and office.
- Respond to clientsโ inquiries.
- The answer is to Screen and forwards incoming phone calls.
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
- Receiving and sorting mails either hard or soft copies and sent to relevant offices and departments.
- Perform other clerical receptionist duties such as filing, photocopying, scanning, etc.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Keep and maintain clear and accurate records of clientsโ appointments.
- Retrieve mail, packages, and documents for clients.
Administration
- Ensure accurate program-related documents records are kept of supply inventory (quantity, quality, and delivery).
- Ensure that all contracts that supply and services comply with the standards provided in the operations handbook.
- Offer support to the other offices when the need arises.
- Make photocopies and prepare documents as requested.
- Any other duties assigned by management.
- Prepare the budget for office sundries.
- Prepare a budget for office groceries.
- Facilitate procurement documents processing and verify all procurement documents.
- And Perform other duties as assigned from time to time by management.
Qualifications
- Required education, experience, certificates, licenses, or registrations
- Diploma degree in business/public administration, human resources, accounting, or a related field
- At least one (1) year of relevant work experience in administrative and/or operational capacity.
- Some experience in bookkeeping or data entry will be an added advantage.
Competencies (Knowledge, Skills, and Abilities)
- Working knowledge of Microsoft Office suite (Outlook, Word, and Excel)
- Excellent written, verbal, and interpersonal communications skills.
- Excellent skills in organization
- Pay attention to detail
- Excellent time management- ability to meet deadlines.
- Team player
- Flexibility and adaptability to work.
- Fluency in English required.
